As the Prosthetic Clerk of the Prosthetic and Sensory Aids Service (PSAS) at the Southeast Louisiana Veterans Healthcare Center and its outpatient clinics. This position has a high degree of visibility throughout the medical center and the public as a result of direct patient care contact with the veteran population, many of whom are severely disabled. A display of a positive image on behalf of the VA is critical and required. Meets public and record the arrival of all patients reporting to Prosthetics. Informs Prosthetic staff of the arrival of scheduled appointments, walk-ins, etc. This also includes answering the PSAS phone line(s) and taking appropriate action to help resolve issues. He/She will distribute stock to eligible Veterans and post stock issues to the Veteran's Prosthetic record using the appropriate software. This involves mailing of items directly to Veterans when needed. The incumbent must be able relay information and identify and resolve problems between PSAS and its customers, both internal and external. Examines clinical health record, claim folders and applications, identifies priorities on open/pending requests to comply with Prosthetic Clinical Management (PCM) consult mandates, and ensures the requests are posted to suspense log to verify workload statics used. He/She will assist in filling out, receive, scan, track applications and other supporting documentation on behalf of the service. In addition to, fielding questions and updates to patients, families, staff etc. He/she is responsible for entering data used in preparing and submitting numerous facility Central Office reports; Prosthetic Order Report, VA CO Patient Satisfaction Survey Report, Decision Support System (DSS) and the VACO national Prosthetic Patient Database (NPPD) report. Knowledge of VISTA Prosthetics Package to dispense common, off-the-shelf prosthetic items to patients and to complete appropriate computer transactions in the patient's computer file and supply accountability programs. Knowledge of common administrative functions to act as receptionist, take messages, and to answer questions about the Prosthetics Service, process mail and correspondence, files maintenance and correspondence control. Knowledge of medical, orthotic and prosthetic terminology. Ability to communicate effectively with broad range of veterans with varying disabilities and competencies. Display knowledge and skills in the use of office automation equipment, such as computers, computer programs (Windows, Word Perfect, etc.) facsimile machines, printers, calculators, copiers. Knowledge of the various program requirements sufficient to make substantive distinctions in the clerical and administrative operations of the office regarding policies, directives, priorities, and commitments, to facilitate walk-ins and telephone communications with patients. This position requires a fully qualified typist Submit request for quote forms to contractors and vendors to obtain pricing for fabrication or repair of durable medical equipment. Dispense off the shelf inventory items to patients and stock post the items to the patients' 2319 transaction record screen. Make minimal micro-purchases to pay invoices/quotes received in the service. Assemble equipment (basic assemble) needing to be delivered to specialty services i.e., walker, wheelchairs, bathroom equipment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Proficient in using VA systems, databases, and electronic health record platforms to accurately manage prosthetic orders and documentation. Skilled in Microsoft Office applications (Word, Excel, Outlook) to create reports, track workflow, and communicate effectively with providers and veterans. Provides exceptional customer service by assisting veterans with prosthetic inquiries, ensuring timely communication, and resolving concerns professionally. Demonstrates strong attention to detail when entering, reviewing, and updating prosthetic requests to ensure accuracy and compliance with VA guidelines. Coordinates efficiently with clinicians, vendors, and internal departments to support smooth processing of prosthetic items and maintain a positive veteran experience. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Substitution of 4 years of education above high school (transcripts required). . OR, Combination: Applicants may also combine education and experience to qualify at this level. Combination of Specialized experience as described above and education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. Preferred Experience: Proficient with the computer. Excellent customer service. Physical Requirements: The work of the Selectee is primarily sedentary. There is some walking, standing, bending and carrying of items up to 25 lbs. such as equipment and supplies, files equipment provided to beneficiaries within Prosthetic & Sensory Aids. The work required does not inherently include any physical requirements essential for successful job performance that could not otherwise be performed with accommodation or workplace adjustment.
