Position Summary: The Administrative Assistant
• Senior Living will provide administrative, clerical, and organizational support to the Executive Director, Business Office Manager (BOM) and/or other site leaders.The position helpsmaintainefficient daily operations by coordinating schedules and meetings,preparingandmaintainingrecords,assistingwith business-office processes, and serving as a professional point of contact. What You’ll Do Provide administrative support to the Executive Director and Business Office Manager. Plan and manage the scheduling and direction of siteReceptionists. Assistwith scheduling, meeting coordination, and calendar management. Assist Executive Directorin oversight of housekeeping operations for the campus. Prepare, organize, andmaintainfiles, records, and reports. Support payroll, invoicing,purchasing, and other business office functions as assigned. Assistwith data entry andmaintainingaccuraterecords and databasesforvarious logs, concern reports, etc. Greet visitors and serve as a professional point of contact for staff, families, vendors, and community members. Support special projects, events, and campus initiatives. Under direction by Executive Director,worka flexible weekly schedule as needed for the business. Collect, organize, and route supporting documentation to theappropriate revieweror approver. Refer discrepancies, exceptions, approval requests, andnon-routinequestions to the Business Office Manager, Executive Director, or otherappropriate leader. Perform other clerical and administrative duties as needed to support campus operations. Qualifications: Associate degree in Business Administration, Office Management, Accounting, ora relatedfield preferred. One to three years of administrative, office support, receptionist, or business office experience preferred. Experience supporting managers, department leaders, or senior leaders preferred. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Experience with invoicing, purchasing, accounts payable, or other business office functions preferred. Strong organizational and time-management skills with the ability to prioritize assignments, manage multiple deadlines, and maintain attention to detail. Excellent verbal and written communication skills with a professional and customer-service-oriented approach. Demonstrated ability to handle confidential and sensitive information with discretion. Strong data-entry, recordkeeping, and proofreading skills, with consistent attention to accuracy and detail. Ability to work independently while collaborating effectively with staff, residents, families, vendors, and community partners. Experience in healthcare, senior living, nonprofit, education, or a similar service-oriented environment preferred. Ability to adapt to changing priorities and support special projects and events as needed. Ability toworkmodified weekly schedules for weekendcoverage.
