Administrative Assistant I, Division of Health Care Technologies

Job Summary The Administrative Assistant for the Division of Health Care Technologies provides high-level administrative support to ensure the smooth operation of the division. This position is responsible for managing daily office functions, coordinating schedules, preparing reports, and assisting with division projects and events. The role requires strong organizational skills, attention to detail, and the ability to handle confidential information with discretion. The Administrative Assistant serves as a key point of contact for faculty, staff, students, and external partners, supporting the division’s mission to deliver excellence in healthcare education and innovation. Essential Duties & Responsibilities & Knowledge Skills & Abilities Perform clerical functions which may include operating word processing and office equipment to compile, write, and edit quality finished memoranda, correspondence, reports, etc. operating electronic mail and disk filing systems. Performing receptionist duties, scheduling meetings, making travel arrangements, creating and keeping calendars current, screening calls and recording messages, maintaining files, entering data, performing research and analysis functions, preparing and taking minutes. Manage the general affairs of the office which may include working with confidential information, gathering data, creating reports, reviewing, tracking, and responding to documents, analyzing office systems, implementing new procedures, coordinating activities with other departments, maintaining outside contacts. Composing business correspondence. Planning and coordinating events. Assisting with contracts Maintaining and student/faculty files Process fiscal and budgetary documents which may include departmental requisitions, inventories, personnel and employment records, budget reconciliations. Track division expenditures, working with development office, Office of Sponsored Projects and payroll. Prepare documents for grant reporting on budget use multiple times throughout the year. Disseminate general information to students, employees, and others; may explain department and College policies and procedures. Train and delegate tasks to part-time staff. Create and maintain training handbooks. Excellent writing skills and attention to detailed required. Completes reports, meeting minutes, confidential documentation related to the division. Works with and safeguards confidential information. Basic knowledge of accounting and preparing budgets. Ability to work in a fast-paced demanding environment and multitask quickly and efficiently. Possesses good time management, organization, and critical thinking skills. General office procedures and methods (includes advanced computer skills, Adobe, using Microsoft Office suites, Outlook, Excel, navigating various software usage and data entry, and internet research.) Interpersonal problem solving, and public relation skills. Displays good communications/ human relations/ customer service skills to relate with a variety of people. Experience operating computers and other office equipment. Researches and analyzes information. Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College. Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities. Minimum Qualifications Two (2) years of full-time post high school education equivalent to 60 credit hours or Associate degree. Two (2) years of related, paid, full-time or equivalent work experience. Trade-off 1:1 experience/educational requirement. Preferred Qualifications Knowledge of Banner or related platform. Experience working in an educational environment. Experience working in an executive office support position.
