The Senior Administrative Assistant provides high-level onsite support and serves as a liaison to senior management within the Real Estate Group, assisting with administrative and operational tasks, organizational duties, and office-wide coordination efforts. This individual works as an integral member of a broader administrative and operations team, contributing to the seamless delivery of support services across the office and sector. The ideal candidate is organized, proactive, and a genuine team player who takes pride in building strong working relationships, supporting colleagues, managing a high volume of requests, and fostering a positive, professional office culture. This role manages a broad variety of administrative tasks, helps ensure the smooth running of daily office operations, and serves as a key liaison across internal and external partners. Key Responsibilities and Duties Provide proactive, comprehensive calendar management for multiple senior leaders, including complex scheduling across multiple time zones, coordinating internal and external meetings, and anticipating scheduling conflicts before they arise. Prepare, format, and distribute meeting materials, agendas, and presentations, ensuring clear understanding of expectations and deliverables at all times. Manage expense report preparation, submission, tracking, and reimbursement on behalf of senior leadership, supporting cost management and budget tracking as needed. Arrange and oversee detailed domestic and international travel itineraries, including transportation, accommodations, and meeting logistics, handling last-minute changes with composure and accuracy. Assist with workspace planning and daily office operations to ensure a productive, well-functioning environment. Actively engage with colleagues across the office, building trusted relationships and serving as a reliable, approachable, and visible presence within the team. Exercise the highest level of discretion and confidentiality in all aspects of the role, with a demonstrated ability to listen, interpret, and quickly act on the needs and concerns of senior leadership. Serve as a primary contact for facilities-related requests, such as maintenance, cleaning, and HVAC coordination, liaising with building management, office services, and IT on behalf of the office. Coordinate overall office functioning, including inventory checks, space scheduling, event planning, and greeting and escorting external guests. Take on additional duties and projects as assigned by leadership, approaching all responsibilities with an ownership mindset. Act as backup support for fellow administrative assistants as needed, stepping in seamlessly to maintain continuity of support. Work in close partnership with the receptionist team and other administrative staff to ensure cohesive, high-quality support across the office, stepping in where needed and fostering a collaborative, collegial work environment. Educational Requirements High School Preferred Work Experience No Experience Required; 2+ Years Preferred Physical Requirements Physical Requirements: Sedentary Work Career Level 3IC Preferred Qualifications: 3+ years of administrative assistant experience Prior experience supporting senior leadership, including calendar management, travel coordination, and communications. Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, as well as expense management and travel booking platforms. Excellent written and verbal communication skills. Strong organizational skills and attention to detail, with experience coordinating complex logistics including domestic and international travel and events. Ability to work independently and collaboratively while adapting to shifting priorities in a dynamic environment.
