Project Manager - HVAC Sales

Position Summary The Project Manager is responsible for managing projects from order acceptance through equipment delivery, installation coordination, startup, and project closeout. This position serves as the primary coordination point between customers, account managers, the bid department. engineers, manufacturers, end-users and internal teams. The Project Manager ensures that equipment selections, submittals, schedules, costs, and project requirements are properly managed while maintaining strong customer relationships and protecting project profitability. Key Responsibilities Own projects from sales handoff through equipment release, manufacturing, delivery, startup, and closeout. Review scope, quotations, purchase orders, plans, specifications, schedules, and contract requirements; identify and resolve technical, schedule, cost, and scope risks. Coordinate equipment selections, submittals, approvals, controls, accessories, electrical requirements, jobsite needs, commissioning, warranties, and O&M documentation. Serve as the primary contact for customers, contractors, engineers, manufacturers, account managers, service teams, accounting, and operations; lead clear, timely project communication and meetings. Monitor costs, margins, freight, invoices, billing milestones, and financial exposure; price, document, secure approval for, and track change orders. Maintain accurate project records, support timely billing and closeout, and help resolve project-related billing or collection issues. Partner with sales and estimating teams on handoffs, customer needs, project risks, service opportunities, and future business. Qualifications 3+ years of experience in commercial HVAC, mechanical contracting, HVAC equipment sales, construction project management, or a related field preferred. Ability to interpret mechanical plans, specifications, equipment schedules, and technical submittals. Strong organization, prioritization, attention to detail, problem-solving, customer service, and written and verbal communication skills. Ability to manage multiple projects and deadlines while maintaining ownership, documentation quality, and commercial awareness. Proficiency with Microsoft Office; experience with CRM, ERP, project-management, and equipment-selection software is beneficial.
