Reports to: Founding Recruiter
Schedule: Monday, Wednesday, Friday 8:45 am
• 5:45 pm
Please note: This is a temporary role, with the potential to convert to a permanent, full-time position down the line. The person hired will be formally employed by our staffing agency partner, not by Pylon directly. They'll work on-site at our NYC office and be fully integrated into the team day-to-day, but payroll, benefits, and employment terms run through the agency.
WHAT YOU'LL DO
• Attack the day to day. Own supply orders, vendors, deliveries, facilities requests, storage, and keeping the space clean and presentable, before anyone has to ask. Don't let it pile up: delegate, automate, and streamline everything.
• Own the move. We're relocating to a new NY office this November. Take it from planning to execution and make it feel seamless.
• Chief Fun Officer, NY edition. Plan the events, socials, and in-office celebrations, and connect them back to what the team's actually accomplished, big or small.
• Talent's first impression. Own workspace setup for new hires, room logistics for candidate onsites, and coordination support for the recruiting team, calendar management, candidate communication, and day-of logistics.
• Own the philosophy, not just the checklist. You're not here to follow a list of rules, you're here to take “keep this office running like it matters” and figure out what that actually requires day to day.
• This is not a static role. Flex into whatever ad hoc operational projects come up as the office and team grow.
What You'll Bring
• 1+ year of experience working in an office or workplace environment (office coordinator, workplace ops, community associate, or similar)
• A plus if you've helped run an office move, from planning through move-in
• Comfortable managing vendors and furniture logistics, you know how to get quotes, place orders, and follow through until it's actually done
• Highly organized and able to juggle competing priorities without letting something slip
• Strong communicator, you're often the first and last touchpoint for candidates, new hires, and visitors
• Scrappy and resourceful, you find a way to get it done rather than pointing at why it can't be
• Based in New York and able to be in-office 3x per week
