The Dragonfly Foundation is seeking a dependable, organized, and self-motivated Administrative Assistant to join our team. This full-time, in-person position provides essential administrative support to our leadership team while helping ensure the day-to-day operations of our office run smoothly. The ideal candidate is detail-oriented, takes initiative, communicates effectively, and can confidently manage multiple priorities in a fast-paced environment. Position Details Position: Administrative Assistant Classification: Full-time, salaried Schedule: Monday–Friday, 8:30 a.m.–4:30 p.m. Location: In person What You'll Do Administrative & Leadership Support Provide administrative support to the Executive Director, Senior Vice President, and Directors. Prepare administrative materials and assist with scheduling and calendar management. Scan and organize documents in Dropbox and maintain office records. Complete expense reports and assist with travel arrangements. Enter notes, data, and information into Salesforce. Assist with computer, office, and inventory organization. Prepare and distribute materials and agendas for bi-monthly Board meetings. Office Operations Answer phones and respond to general inquiry emails. Greet and assist guests, donors, and Dragonfly families. Open and close the office each day. Update and maintain office documents and records. Order office supplies and research pricing and vendors. Serve as a point of contact for internal and external partners. Conduct daily visual inspections of the building and report equipment or maintenance concerns. Assist with special events and other organizational needs. Attend and assist with The Dragonfly Foundation's annual Grand Gala. What We're Looking For Strong organizational and time-management skills. Ability to prioritize multiple tasks and meet deadlines. Excellent written and verbal communication skills. Strong attention to detail and ability to take initiative. Proficiency in Microsoft Office, particularly Excel and PowerPoint . Proficiency with Google Workspace . Experience with Salesforce is a plus. College degree preferred. Ability to maintain confidentiality and professionalism.
