Office Manager

Ready

Location: FabLab • San Carlos, CA Ready is a remote-first Public Benefit Corporation building the Utility Intelligence Platform that helps governments, utility operators, and consultants manage complex infrastructure programs end-to-end. As Ready expands our hardware products, the Fab Lab in San Carlos has become an important part of how we build, test, and deploy. It's part workshop, part office, part event space, and part playground for the team — and we're looking for someone to make sure it all runs smoothly. We're looking for a FabLab Office & Facilities Manager to own the day-to-day experience and operations of our San Carlos facility. You'll keep the space safe, organized, stocked, functional, and ready for the team to do their best work. You'll manage vendors and building relationships, coordinate facility projects and improvements, support events and visitors, and build the systems that make the Fab Lab feel effortless to work in. This is a highly hands-on role for someone who enjoys being the person who sees what needs to get done and makes it happen. You'll work across facilities, workplace, safety, purchasing, events, and light inventory/logistics — with a high degree of ownership and autonomy. This is an onsite role based in San Carlos, CA, five days per week. About your role at Ready ⚡️ • Own the day-to-day operation of the Fab Lab, ensuring the space is clean, organized, functional, safe, and ready for work. • Manage workspace needs including furniture, storage, conference rooms, AV, printers, guest Wi-Fi, access control, and general office infrastructure. • Keep kitchen, bathroom, safety, and workplace supplies stocked and proactively anticipate what the team will need. • Manage mail, packages, deliveries, returns, and other day-to-day office logistics. • Coordinate new-hire onsite setup including desks, access, workspace needs, and safety orientation. • Serve as the primary point of contact for our landlord, property manager, building contractors, and facility vendors. • Coordinate cleaning, maintenance, utilities, trash/recycling, security, landscaping, and other recurring building services. • Own facility projects from start to finish — gathering quotes, evaluating options, coordinating vendors, scheduling installations, and making sure work gets completed. • Help continuously improve the Fab Lab through projects such as security/access control, workspace improvements, storage, signage, equipment, and other facility upgrades. • Track facility expenses and provide a monthly view of workplace and facilities costs. • Own the administrative side of our workplace safety programs, including Cal/OSHA documentation, training records, inspections, and required logs. • Coordinate recurring inspections and maintenance for fire extinguishers, sprinklers, eyewash stations, first-aid kits, and other safety equipment. • Maintain required facility and environmental documentation and coordinate renewals or filings as needed. • Partner with the Hardware and Engineering teams to ensure the space supports safe work around tools, equipment, materials, and fabrication activities. • Identify and escalate safety, facilities, or compliance risks before they become problems. • Keep common Fab Lab supplies, safety equipment, consumables, and materials stocked and organized. • Coordinate purchases across Amazon, Home Depot, specialty suppliers, and other vendors. • Maintain basic inventory systems for office, safety, and Fab Lab consumables. • Coordinate incoming packages, hardware, and materials and make sure deliveries get to the right team. • Support occasional outbound shipments, equipment moves, and deployment logistics as needed. • Coordinate team events, all-hands, lunches, customer demonstrations, executive visits, and other gatherings at the Fab Lab. • Manage catering, room setup, AV, visitor access, and other event logistics. • Partner with People, Hardware, Engineering, Product, and Story to make onsite experiences seamless. • Be the person who makes sure the details are handled — from a customer demo to a team lunch to a last-minute Amazon delivery. Be the person who makes things happen • Notice problems before someone has to ask you to solve them. • Build simple systems that make recurring work easy and automatic. • Jump between strategic projects and whatever needs to get done that day. • Operate with a high degree of ownership, judgment, and autonomy in a fast-moving startup environment. A Bit About You 🥇 • 3+ years of experience in office management, workplace, facilities, operations, hospitality, events, or a related role. • Experience managing vendors, contractors, building relationships, or physical workplace operations. • Highly organized with strong attention to detail and the ability to keep many moving pieces on track. • A proactive problem-solver who sees what needs to happen and takes ownership without waiting to be asked. • Comfortable working hands-on in a physical environment and getting into the details when needed. • Strong communication and interpersonal skills — you're comfortable working with everyone from vendors and contractors to executives and engineers. • Calm, low-ego, and highly collaborative, with a bias toward action. • Comfortable working onsite five days per week and occasionally lifting/moving equipment and materials (25+ lbs). Nice to Have: • Experience supporting a workshop, lab, manufacturing, warehouse, construction, or other physical environment. • Familiarity with California workplace or safety requirements. • Experience coordinating facilities projects, construction, office buildouts, or vendor installations. • Experience with workplace safety programs or industrial safety training. • Experience supporting hardware, manufacturing, telecom, infrastructure, or industrial teams. • Experience managing inventory, purchasing, shipping, or other operational logistics.
