Senior Operations Specialist

We are looking for a Senior Operations Specialist to join the Operations Department at Zorlu PSM , one of Türkiye’s leading performing arts and entertainment venues. This role is responsible for the end-to-end planning, coordination and execution of artist and guest hospitality operations across concerts, performances and events. The position requires close communication with artists, artist management teams, tour managers, production companies and international promoters , as well as strong coordination with internal departments and external suppliers. Key Responsibilities Plan and manage end-to-end hospitality operations for artists, artist teams, VIPs and special guests. Review and interpret artist riders , identify operational requirements and ensure all requests are planned and delivered accurately. Communicate directly with international tour managers, artist representatives, production teams and promoters regarding hospitality requirements. Coordinate accommodation, transportation, catering, backstage/kulis arrangements and special requests with relevant departments and suppliers. Ensure all hospitality requirements are reviewed and completed prior to the event. Manage the arrival, reception, guidance and hosting of artists and artist teams on event days. Ensure VIP and special guest experiences are delivered in line with Zorlu PSM standards. Take an active role in managing last-minute changes, unexpected requests and operational issues during events. Coordinate the Operations team and relevant internal departments to ensure seamless event execution. Manage communication with hospitality-related suppliers and monitor service quality. Follow up on purchasing, ordering, invoicing and other administrative processes related to hospitality operations. Evaluate post-event hospitality operations, identify improvement areas and prepare relevant reports. Contribute to the development and improvement of hospitality processes, standards and workflows. Qualifications Bachelor’s degree, preferably in Tourism & Hospitality, Business Administration, Public Relations, Event Management or a related field. Minimum 3 years of experience in event management, concerts, performing arts, hospitality, hotel operations or a similar operational environment. Previous experience in artist hospitality, backstage operations or entertainment industry operations is strongly preferred. Advanced / Professional level of English with the ability to: communicate fluently with international artist teams and tour managers, review and understand artist riders, negotiate and clarify requirements in real time, manage operational issues and crises confidently in English. Strong planning, organization and follow-up skills. Ability to manage multiple events and priorities simultaneously without losing attention to detail. Strong communication, representation and interpersonal skills. Strong problem-solving and crisis-management abilities. Ability to work effectively under pressure and in a fast-paced environment. Strong teamwork, coordination and leadership skills. High awareness of guest satisfaction and service quality. Proactive, responsible and solution-oriented approach. Willingness to work flexible hours, evenings, weekends and public holidays according to the event schedule. The Person We Are Looking For The successful candidate: Anticipates needs rather than waiting for requests. Can read an artist rider and translate requirements into a clear and executable operational plan. Is comfortable communicating directly with international artist teams and tour managers. Can negotiate and find practical solutions when expectations, requirements or circumstances change. Remains calm and professional during last-minute changes and high-pressure situations. Can manage multiple events simultaneously while maintaining a high level of attention to detail. Understands the balance between artist expectations, guest experience and company standards . Builds professional relationships with artists, management teams, suppliers and internal stakeholders. Takes ownership of the hospitality process from preparation through event execution and post-event follow-up. Understands that hospitality is a key part of the overall event experience and the reputation of Zorlu PSM. Working Conditions This position requires a flexible and event-based working schedule . Evening, weekend and public holiday work will be required depending on the event calendar.
