The Education Administrative Assistant reports directly to the Clinical Education Assistant Director. This role is an essential contributor to clinical education operations with a blend of administrative & operational coordination duties and learning & instructional support functions. Responsibilities Administrative & Operational Coordination:
• Manage calendars, room reservations, scheduling, and logistics for classes, orientations, simulations, and competency events.
• Prepare agendas, minutes, sign‑in sheets, rosters, and attendance documentation.
• Maintain department website, including files/folders, shared drives, databases, and education records.
• Support digital resource management: create and organize templates, forms, workflows, shared content.
• Track inventory, manage storage, order supplies.
• Serve as the first point of contact for inquiries related to education programs, onboarding, and training.
• Draft communications, announcements, and updates for education programs.
• Process payments. Learning & Instructional Support:
• Assist educators in managing education materials, handouts, etc.
• Support class/education activity setup/take-down and supplies management.
• Maintain education supplies and simulation equipment
• Manage LMS tasks including enrollments, course builds, reminders, completions, and reporting.
• Provide administrative and operational support for project‑based rollouts (new equipment, workflows, care models, documentation changes).
• Utilize advanced educational design software to create drafts of education modules. Qualities
• Must be reliable, accountable, detail-oriented and self-motivated
• Collaboration and the ability to work effectively with a team are essential qualities for success.
• Must be flexible to meet the needs of the department and of the management.
• Ability to multi-task and handle interruptions and multi-directional work requests is a necessity.
• Must be willing to learn use of educational software and tools. Experience REQUIRED: Minimum 3 years experience in an administrative assistant/clerical position. High level proficiency in Microsoft 365 applications. Demonstrated ability to effectively prioritize tasks and projects. Excellent communication/ interpersonal skills, both verbal and written. Preferred Experience: Experience in educational or instructional support. Healthcare-related experience. Education High school diploma or G.E.D. College or business level courses as a certified administrative professional in business or computer science. Hourly Evening Shift Differential: $2.44 Hourly Night Shift Differential: $3.65
