Position Summary Kaseya is seeking a highly experienced, proactive, and business-minded Senior Executive Assistant to serve as a trusted partner to a senior executive. This individual will operate with a high degree of independence, discretion, and judgment, helping the executive maximize their time, focus, and impact across a fast-paced, high-growth organization. This is more than a traditional administrative role. The ideal candidate acts as an extension of the executive—anticipating needs, understanding priorities, proactively managing competing demands, and ensuring the executive is prepared for the meetings, decisions, and commitments that matter most. They are highly organized, commercially minded, and comfortable operating with limited direction in an environment where priorities can change quickly. The Senior Executive Assistant will work closely with senior leadership and key internal and external stakeholders and may support interactions with Kaseya's leadership team, Board members, investors, and other high-profile stakeholders. Experience in a private equity-backed organization and/or supporting executives who interact regularly with a Board of Directors is highly valued. Experience managing or leading a team of Executive Assistants is a significant plus. The successful candidate may also play a broader role in helping establish best practices, improve coordination, and create consistency across the Executive Assistant function. Key Responsibilities Serve as a trusted partner and extension of the executive, proactively managing priorities, time, information, and relationships. Manage a complex and highly dynamic executive calendar, ensuring the executive's time is aligned to the organization's most important priorities and highest-value activities. Anticipate the executive's needs and proactively address scheduling conflicts, information gaps, preparation requirements, and follow-up items before they become issues. Act as a strategic gatekeeper and professional liaison between the executive and internal and external stakeholders, exercising sound judgment regarding priorities, access, and communication. Prepare the executive for critical meetings by coordinating agendas, pre-reads, presentations, briefing materials, talking points, and other relevant information. Coordinate executive-level meetings, leadership meetings, Board meetings, investor engagements, and other high-priority business activities. Partner closely with the executive's leadership team to ensure priorities, decisions, and commitments are clearly communicated and appropriately followed through. Track key decisions, action items, and commitments and proactively follow up with stakeholders to drive accountability and completion. Coordinate complex domestic and international travel, including detailed itineraries, logistics, changes, and last-minute adjustments. Draft, edit, and coordinate executive communications, presentations, and other materials with a high level of professionalism and attention to detail. Handle highly confidential, sensitive, and business-critical information with exceptional discretion and judgment. Build strong working relationships across the organization and effectively navigate a broad range of senior stakeholders. Support special projects and strategic initiatives by coordinating stakeholders, managing timelines, organizing information, and driving execution. Identify opportunities to improve executive effectiveness, team communication, and operating rhythms. Help establish and maintain consistent standards, processes, and best practices across the Executive Assistant function. Where applicable, provide guidance, mentorship, and coordination to other Executive Assistants and help ensure the broader EA team is well-informed, aligned, and operating effectively. Represent the executive with professionalism, responsiveness, and a high degree of judgment in every interaction. Required Qualifications 8–12 years of progressive experience as an Executive Assistant, Executive Business Partner, or similar executive support role, with significant experience supporting senior executives. Demonstrated experience supporting VP, C-suite, or other highly senior leaders in complex, fast-paced organizations. Proven ability to function as a true executive partner—not simply react to requests, but anticipate needs, understand context, prioritize effectively, and proactively drive outcomes. Exceptional ability to manage complex and constantly changing calendars, competing priorities, multiple stakeholders, and high-volume demands with accuracy and composure. Strong executive judgment, including the ability to determine what requires immediate attention, what can wait, and when to escalate. Excellent written and verbal communication skills, with the ability to interact confidently and professionally with executives, Board members, investors, employees, and external stakeholders. Demonstrated ability to manage highly confidential and sensitive information with exceptional discretion. Strong business acumen and the ability to quickly understand an executive's priorities, organizational dynamics, and broader business objectives. Exceptional attention to detail while maintaining a strong understanding of the bigger picture. Ability to operate independently, take ownership, and make sound decisions without constant direction. Proven ability to remain calm, flexible, and highly effective in a fast-paced environment where priorities can shift quickly. Proficiency with Microsoft Office, Zoom, and other executive productivity and collaboration tools. Preferred Qualifications Experience supporting a C-suite executive or senior executive in a complex global organization. Experience working within a private equity-backed organization or other investor-driven environment. Experience supporting executives with Board of Directors or Board committee responsibilities. Experience coordinating Board meetings, Board materials, investor meetings, or other executive-level governance activities. Experience managing, mentoring, or leading a team of Executive Assistants; experience overseeing an EA pool or broader executive support function is a significant plus. Experience in a high-growth technology, SaaS, or similarly fast-paced organization. Experience supporting executives through periods of significant organizational growth, transformation, or change. Strong understanding of executive prioritization, organizational dynamics, and cross-functional business operations. Experience developing or improving processes, operating rhythms, and best practices for an Executive Assistant or executive support function. Demonstrated ability to build trusted relationships with senior executives and become a highly valued business partner. Experience working across multiple time zones and supporting globally distributed teams.
