As a Client Service Representative, you’ll be one of the first people clients speak with and one of the last they see before leaving. You won’t simply answer phones or process payments. You’ll help clients understand what comes next, keep communication flowing between families and the medical team, and create a calmer experience during moments that can feel stressful or uncertain. What You’ll Do Welcome clients and their pets with warmth, professionalism, and compassion Serve as a primary point of contact in person and by phone, answering calls and client questions Recognize routine concerns and situations that may need urgent attention, and escalate appropriately Schedule and coordinate appointments, prioritizing needs and keeping the hospital calendar organized Check clients and patients in and out Prepare invoices, explain charges clearly, and process payments accurately Enter and maintain accurate client, patient, financial, and medical records Coordinate information between clients and the medical team, documenting communications thoroughly Communicate hospital policies, services, and next steps, and help manage expectations during busy times Provide compassionate support to families whose pets need care Maintain the confidentiality of client and patient information Support daily hospital flow, administrative tasks, and a positive, efficient workplace What You’ll Bring One year of veterinary client service experience preferred but not required Customer service, reception, healthcare, or hospitality experience is helpful Excellent phone and in-person communication skills Strong organization, time management, and attention to detail, with accurate data entry Confidence juggling multiple calls, appointments, and competing priorities The ability to stay calm and organized in a fast-paced environment Comfort discussing invoices, services, and hospital policies with clients Compassion for families and an understanding of the stress they may feel A self-motivated, collaborative attitude and willingness to take initiative Leadership potential and an interest in continued professional growth Availability to work Saturdays as part of the regular schedule Ability to stand or sit for extended periods Financial Benefits Benefits You Can’t Beat A flexible approach to compensation that reflects your skill set and future performance 401(k) matching & Roth Retirement Savings Plan Flexible Spending Account (full-time only) 529 Savings Plan Tuition Support Program Referral bonus program Wellness Benefits Health insurance, including medical, dental, and vision (full-time only) Supplemental insurance, including accident, critical illness, hospital, short- and long-term disability, legal plan, and employee, spouse, and child-dependent life insurance (full-time only) Up to three weeks of full pay for the birth or adoption of a child (full-time employees only; available after one year of service).
